Use An Audit Template From The Library

(Logiqc Auditor)

Learn how to use an audit template from the library in Logiqc when you want to start from an existing audit structure rather than build one from scratch.

This article covers how to select a template, review it for your organisation, then publish it so it can be used when scheduling audits.

Tip: For a detailed step-by-step guide, see the Academy tutorial below.

Use a library template when there is already an audit structure available that is close to what your organisation needs.

This is usually the best option when:

  • You want to save setup time
  • You want to start from a common or established audit structure
  • You only need to review and adapt parts of the template before use
  • You want to publish an existing template so it can be scheduled in the Audit Register

You can still review and customise the template before publishing it for use in your organisation.

Q: Do I need to publish a library template before I can use it?

A: Yes. Publishing makes the template available when scheduling audits.

Q: Can I change a library template before publishing it?

A: Yes. Review the content carefully and make any changes needed for your organisation before publishing.

Q: What if the library template is close, but not quite right?

A: You can adapt the template to suit your organisation. If the structure needs to change significantly, it may be better to create a new template from scratch instead.

Before you start

Check the following:

Step 1: Open the audit template library

Navigate to Audit templates in Admin mode:

Navigation path ⋮ Menu

Located in the top right corner of the screen. Click the ⋮ icon and select Admin mode.

Admin mode

Once in Admin mode, select Audit templates from the Administration panel on the left-hand side.

Audit templates

Open the template library to review the available audit templates.

Select Use a template from the library to browse available audit templates and choose one to use.

Start from scratch Create a new blank template and build it to suit your needs. To get started, follow the steps in the article below.
Create and Publish an Audit Template
Use a template from the library Browse pre-built templates to save setup time. Best for organisations that want to start from an existing audit structure.

Step 2: Edit the fields

Select a field to see its properties in the right-hand panel.

When a field is selected

Edit the label text and adjust the field instructions.

Clone a field when you want to reuse the same structure.

Delete a field if it is no longer needed.

Reorder fields using the drag handle.

Add more questions

Go to Fields & Elements in the right-hand panel, then drag a field type into the template.

Common field types:

Within each question
  • Add or remove answer options
  • Assign scores to answers
  • Mark an answer as critical
  • Change answer colours for display
  • Link to accreditation standards
  • Make the question required

For detailed behaviour of questions, see:

Note: Changes apply immediately to the draft version.

Step 3: Review and customise the template

Before publishing the library template, review its structure, wording, and settings to confirm it matches how your organisation wants the audit to work.

Check things such as:

  • The template name and description
  • The questions and answer options included
  • Any benchmark or scoring settings
  • Whether any responses need to be marked as critical
  • Whether accreditation links are needed

Important: Publishing makes the template available for use. Review the content first so the scheduled audit uses the right tool from the beginning.

Note: If the library template needs major structural changes, it may be better to create a new template from scratch instead.

Step 4: Publish the template for use

Once you are satisfied with the template, publish it so it can be selected when scheduling an audit from the Audit Register.

Review before publish

  • Confirm the template content is suitable for your organisation
  • Check the name is clear and unique
  • Make any final changes before publishing

Published for use

  • The template can be selected when scheduling audits
  • It becomes part of your audit program in the Audit Register
  • Future changes are managed through versioning

Publishing makes the template available for use. If the template is updated later, Logiqc creates a new version so completed audits stay linked to the version originally used.

Note: Publishing a library template is the point where it becomes available when scheduling an audit.

Troubleshooting

If something is not working as expected:

"Audit template couldn't be saved"

  • Check whether another published template already uses the same name
  • Rename the template if needed
  • Try publishing again

What happens next

After the library template is published, it becomes available for scheduling and can be used as part of your organisation's audit program.

The template is ready to be selected

Published library templates can be chosen when creating a new audit.

The right audit tool is used consistently

Using a published template helps make sure the same audit structure is applied each time.

Audit activity is easier to manage

The Audit Register can track scheduled audits against the template your organisation has approved for use.

The audit program can move forward

Once the template is published, it is ready to support scheduled audits and ongoing reporting.
