Create and publish an audit template

(Logiqc Auditor)

Learn how to create and publish a new audit template in Logiqc when you need to build an audit from scratch for your organisation.

This article covers the full setup flow, from creating a new template through to publishing it so it can be used when scheduling audits.

Tip: For a detailed step-by-step guide, see the Academy tutorial below.

Create a new audit template when your organisation needs an audit that does not already exist in the template library.

This is usually the best option when:

  • You need a custom audit structure for your organisation
  • You need to control the wording of each field and question
  • You are adapting an existing paper or spreadsheet audit into Logiqc
  • You want to decide how scoring and accreditation links should be set up from the start

New templates can then be published and used when scheduling audits from the Audit Register.

Q: Can I build an audit template from scratch in Logiqc?

A: Yes. You can create a new audit template, add the fields and questions you need, then publish it for use.

Q: Can I edit a template after publishing it?

A: Published templates are locked to protect historical audit records. If you update a published template, Logiqc creates a new editable version for future audits.

Q: Why can't my audit template be saved?

A: Check that the published template name is unique. Logiqc does not allow two published audit templates with the same name.

Before you start

Check the following:

Step 1: Choose how you want to start

Navigate to Audit templates in Admin mode:

Navigation path ⋮ Menu

Located in the top right corner of the screen. Click the ⋮ icon and select Admin mode.

Admin mode

Once in Admin mode, select Audit templates from the Administration panel on the left-hand side.

Audit templates

This is where audit templates are created and managed for your organisation.

Select Start from scratch to open the template editor and begin building your audit template.

Start from scratch Create a new blank template and build it to suit your needs. Best for organisation-specific audits that don't exist in the library.
Use a template from the library Browse pre-built templates to save setup time. To get started, follow the steps in the article below.

Step 2: Edit the Fields

Select a field to see its properties in the right-hand panel.

When a field is selected

Edit the label text and adjust the field instructions.

Clone a field when you want to reuse the same structure.

Delete a field if it is no longer needed.

Reorder fields using the drag handle.

Add more questions

Go to Fields & Elements in the right-hand panel, then drag a field type into the template.

Common field types:

Within each question
  • Add or remove answer options
  • Assign scores to answers
  • Mark an answer as critical
  • Change answer colours for display
  • Link to accreditation standards
  • Make the question required

For detailed behaviour of questions, see:

Note: Changes apply immediately to the draft version.

Step 3: Publish the template

Once the template is ready, publish it to make it available for use when scheduling audits from the Audit Register.

Draft

  • Can be edited at any time
  • Is not yet available when scheduling audits
  • Is visible in the audit template area in Admin mode

Published

  • Can be selected when scheduling an audit
  • Protects completed audits from being changed retrospectively
  • Requires a unique published template name

Publishing makes the template available for use. If you later update a published template, Logiqc creates a new version so earlier audit records stay linked to the version originally used.

Note: If publishing fails, check the template name. Published audit templates must have unique names.

Troubleshooting

If something is not working as expected:

"Audit template couldn't be saved"

  • Check whether another published template already uses the same name
  • Update the template name in settings
  • Try publishing again

What happens next

After the template is published, it becomes available for use in the Audit Register and can be selected when an audit is scheduled.

The template is available for scheduling

Published templates can be selected when creating a new audit in the Audit Register.

Audit results are captured consistently

The published template gives auditors a standard structure to use in the field.

Future changes create a new version

Updates to a published template are managed through versioning so historical audit records remain intact.

The template supports your audit program

Published templates help the Audit Register manage audit activity more consistently across your organisation.
