Action an audit
(Logiqc auditor)
In this article:
Learn how to action an audit as the Action Officer in Logiqc Auditor.
When an audit is due, a task is assigned to you. Open the audit form, work through the questions, record your findings, and submit the completed audit to the Approval Officer for review.
Tip: For a detailed step-by-step guide, see the Academy tutorial below.
The Action Officer completes the audit. They open the online form, work through each question, record findings and evidence, and submit the audit for review.
Once all required audits are submitted, the audit moves to the Approval Officer, who reviews findings and either closes the audit or assigns further work.
Action Officer
Completes the audit form, records observations and evidence, and submits for review.
Approval Officer
Reviews the completed audit and closes it or assigns another task if further action is needed.
Do I need to add a recommendation before submitting?
Not always. If the audit uncovered issues or gaps, add at least one so the Approval Officer has something concrete to act on. See Step 5 for when a recommendation is needed.
Can I save my progress and come back later?
Yes. Select Save as draft to keep your responses and return to the task before the action due date.
Do I need an Auditor seat to complete an audit?
Yes. To complete an audit using the online template, your account must have an Auditor seat assigned. Contact your administrator if you cannot open the audit form.
Before you start
Check the following:
- Your organisation has Logiqc Auditor.
- You have been assigned as the Action Officer for the audit.
- Your account has an Auditor seat. Check with your administrator if you are unsure.
Step 1: Open the audit form
Go to your task list and open the audit task assigned to you. Select Conduct audit to open the audit form.
Navigation path
Located in the left-hand navigation.
Find the audit task assigned to you and select its description link to open the task.
Opens the audit form. Shows as Continue auditing if you have already started.
Step 2: Read the instructions
Read the instructions at the top of the audit form before you begin. These explain the scope of the audit and what evidence or information to record.
Step 3: Answer the questions
Work through each question in the audit form and select the response that reflects the current state. Complete all required fields as you go.
If you answer No or Not met: add an observation to explain what is non-compliant, what evidence supports that finding, and any follow-up notes. This gives the Approval Officer the context needed to act on the result.
Step 4: Add observations and media
Observations and media sit alongside each question response. They are how you document what you found.
- Observations: Record details that support your response. If you answered No or Not met, describe the non-compliance, what you found, and any relevant context.
- Media: Attach photos or other supporting files as evidence. Add as much relevant detail as you can to make the audit more useful.
Step 5: Add a recommendation
A recommendation records what should happen next after the audit is reviewed. If the audit uncovered issues or non-compliance, you should add at least one recommendation before submitting.
When to add one: If you answered No or Not met for any question, or if you identified a gap or risk during the audit, add a recommendation. This gives the Approval Officer something concrete to act on. If everything is compliant and no follow-up is needed, you can submit without one.
Step 6: Save or submit
When you have completed all questions, you have two options.
After selecting Submit, go back to your task and select Action, then Complete task to close the task. Write a brief comment summarising what you did before confirming.
Troubleshooting
If something is not working as expected:
"I can't open the audit"
- Check that you have an Auditor seat assigned to your account
- Check that you have the Action Audit, Compliance and Maintenance tasks permission
- Contact your administrator if neither of the above resolves it
"I can't find my task"
- Go to Tasks in the menu and check the In progress tab
- Check your email for a task notification with a direct link
- Confirm with the audit scheduler that the task was assigned to you
"The Submit button is not available"
- Check that all required questions have a response selected
- Scroll through the full template to see if any questions have been missed
What happens next
Once you have selected Complete task, the Approval Officer is notified and the audit moves into the Review and Close stage.
Audit moves to review
The audit is sent to the Approval Officer, who is notified by a task.
Approval Officer reviews
The Approval Officer reviews findings, recommendations, and any improvements recorded.
Closed or returned
The Approval Officer closes the audit, or assigns another task if further action is required.
Workflow complete
The audit record is finalised and available in the Audit register for reporting and future reference.
