Manage an accreditation standard

In the Manage stage you decide if your organisational compliance with the standard should be reviewed and updated.

About the Manage stage

There are three reasons why you will receive a task to manage a standard. 

  1. A new standard has been sent to you to manage
  2. The standard is due for review
  3. A task that you had assigned to someone else has been finished, and now it has been reassigned back to you.

Scenario 1: A new standard has been sent to you to manage

Scenario 2: The standard is due for review

Task management scenario 1

A new standard has been sent to you to manage

When a new accreditation has been sent to you to manage.

Task options

Assign for review

Choose this option to define and delegate the tasks required to review the standard.  

  • Task instructions - provide instructions to undertake the review. As this relates to a new standard being added to the Standard register, you may want the Accreditation details form to be checked to ensure the related items in the QMS have been linked to the standard. In this scenario, the Task instruction might be: 'Review the Accreditation details form to ensure the standard is linked to all related items in the QMS.'

  • Assign - select the user responsible for carrying out the review. Select Assign to me to assign the review to yourself. 

  • Task due date - select the date the review task is to be completed by.

Escalate for approval

Choose this option to escalate the process to the Approval officer for approval. Note: when you are the Approval officer, this option will change to Approve.
  • Comment - use this field to communicate to the Approval officer your recommendation to approve the standard on the Accreditation register e.g. 'The Accreditation details form fully describes how our organisation meets the requirements of this standard and all related items in the QMS have been linked to the standard. Recommend it is approved for 3 years, 6 months prior to our next accreditation review.'

Task management scenario 2

This accreditation is due for review

When a standard has previously been approved and is due for review.

Task options

Assign for review

Choose this option to define and delegate the tasks required to review the standard.  

  • Task instructions - provide instructions for the review of the standard eg. 'Review the linkages between the standard and other items in the QMS to ensure they are complete. Identify if any further action is required to demonstrate compliance with the requirements of the standards.'

  • Assign to - select the user responsible for carrying out the review. Select Assign to me to assign the review to yourself. 

  • Task due date - select the date the review task is to be completed by.

Assign for review

Choose this option to re-schedule the review to a later date.

  • Reasons for rescheduling the review - state your reasoning for rescheduling the review. Typical examples include eg. 'Reviewed the standard and linkages between the standard and other items in the QMS are complete.'

  • Next review date - select the date the standard is to be next reviewed.


Task management Scenario 3

This accreditation has been reviewed

When a standard has been reviewed it will be sent back to the 'Manage stage'. The workflow will reflect a review has been completed, as the 'Review stage' in the workflow will be ticked.

Assign for review

Choose this option if there is further action to be taken in relation to reviewing the standard. 

  • Task instructions - provide instructions for further review of the Accreditation details form e.g. Review the linkages between the standard and other items in the QMS to ensure they are complete. Identify if any further action is required to demonstrate compliance with the requirements of the standards'.
  • Assign to - select the user responsible for carrying out the review. Select Assign to me to assign the review to yourself. 
  • Task due date - select the date the review task is to be completed by.

Escalate for approval

  • Comment - use this field to communicate to the Approval officer your reasoning for recommending the Accreditation details form is approved for a further time e.g. 'the organisation continues to meet the requirements of this standard. Recommend it is reviewed again in 3 months, 6 months prior to our next accreditation review.'
  • Escalate for approval - choose this option to escalate the process to the Approval officer for approval. Note: when you are the Approval officer, this option will change to Approve.

This component summarises the standard and related accountabilities.

Submit the form

Once a task option is selected, click the Submit button to save the form and complete the task. Note: The button language will change to 'Next' if you are also responsible for the next stage in the workflow.  

Select the purple Archive button when the standard is to be archived and the Accreditation details form will be moved to the 'Archived' tab on the register. 

Select Create a related item if you want to create a separate linked item on another register when you save the form. A link between the two items will be displayed in each item's System event history.
