Archive a standard

Learn how to archive a standard in Logiqc when it has been superseded by a newer version, so your Accreditation register shows only current standards.
Archiving moves each item to the Archived tab. You then tidy up any related accreditation actions and draft items so they are not confused with the new version.
Archive a standard when it is no longer required, most often because a newer version has been added to the register and the old version's items, actions, and drafts should no longer appear as active.
Archived items are not deleted. They move to the Archived tab, and the action and your reason are fully recorded in the System event history.
Q: Where do archived items go?
A: To the Archived tab on the register. The action and your comment are recorded in the System event history and shown in the Action history.
Q: Do I have to give a reason?
A: Yes, you add a reason for each item. For efficiency, copy your comment so you can reuse it for each item you archive.
Q: What about the actions and drafts linked to the old standard?
A: Complete or cancel any related accreditation actions, and delete any related draft items, so they are not confused with the new version.
Before you start
Check the following:
- You have identified the standard to be archived, usually because a newer version is being added.
- You have the permission to work with items in the Accreditation register.
- You have checked whether there are related actions or draft items that also need tidying up.
Step 1: Select the standard to archive

Select the standard to be archived from the menu at the top of the page.
Step 2: Archive each item
Open each form in the list on the first tab of the register, then archive each item in turn:
- Open an item by selecting the link in the description column.
- Select Archive at the bottom of the page.
- Add the reason the standard is being archived, for example "This standard has been superseded by a later version", then select Archive.
- Repeat for every item in the first tab.
Add a reason, then select Archive to move the item to the Archived tab.
Step 3: Complete or cancel related accreditation actions
On the Accreditation action plan tab, open each action linked to the archived standard, set the Status field to Action complete or Action cancelled, then select OK. This avoids confusion with actions added for the newer version.
Step 4: Delete related draft items
On the Draft tab, open each item relating to the archived standard and select Delete draft.
Troubleshooting
If the standard cannot be archived cleanly:
"The Archive button is not available"
- Check that you have permission to work with items in the Accreditation register.
- Confirm you have opened the item details page, not only the register list.
- If the item is part of an active workflow task, complete the current task before archiving.
"Old actions still appear after archiving"
- Open the Accreditation action plan tab for the archived standard.
- Complete or cancel any actions linked to the old version.
- Delete related draft items if they should not be used.
What happens next
Archived items move to the Archived tab
Each archived item is removed from the active tabs and listed on the Archived tab.
The change is fully audited
The action and your reason are recorded in the System event history and shown in the Action history.
The register shows only the current standard
With the old items archived and their actions and drafts tidied up, the register reflects the version you are working to.
