Book an asset

Learn how to book an asset in Logiqc.

The Asset booking feature makes it easier to manage large numbers of bookable assets by letting users self-serve and manage their own bookings. Once booked, users receive a confirmation email, and if SSO is configured, the booking also appears in the user's Outlook calendar.

Note: Asset booking is an optional add-on. To enquire about having it enabled, raise a ticket and we will put you in touch with our Customer Success team

Asset booking lets staff self-serve and book the assets and equipment they need. It provides:

  • An asset availability report.
  • An asset booking page for self-serve booking of assets.
  • A booking confirmation email.
  • Integration with the Microsoft Outlook calendar (with SSO activated).
  • An asset utilisation report on the Analytics page.

Q: What permissions do I need to book an asset?

A: You need the Book assets permission. The minimum licence type required is Read Report.

Q: Can an asset be allocated and bookable at the same time?

A: Yes. The Asset booking and Allocations components work together. For example, a vehicle can be allocated to a staff member for home garaging but remain bookable by others during the day.

Q: Can I book a property this way?

A: No. Property bookings are managed centrally by users with access to the Asset details page. See How to book a property.

Before you start

Check the following:

  • The Asset booking add-on is enabled for your organisation.
  • You have the Book assets permission (minimum licence type required: Read Report).
  • The asset you want to book has Allow asset to be booked enabled on its Asset details page.

Step 1: Open the asset booking page

Select Asset booking from the Account menu to open the asset booking page.

Step 2: Book an asset

Select Book on the asset you need to open the Booking details page, then select the start and end date and time for your booking.

When you confirm the booking, you receive a confirmation email. If SSO is configured, the booking also appears automatically in your Outlook calendar.

Step 3: Change or delete a booking

Go to the asset booking page and select your booking (your bookings are shown in blue). You can edit the date and time, or remove it using the Delete booking button. If SSO is configured, your Outlook calendar reflects any changes or deletions automatically.

Make an asset bookable

On the Asset details page, select Allow asset to be booked. We recommend:

  • Notes for users booking the asset: this text appears when a user books the asset and in the confirmation email.
  • Photo: add a photo of the asset. It is displayed during the booking process and helps users identify the asset.
Tip: the Asset booking and Allocations components can be used together, so an asset can be allocated to a user and still remain bookable by others.

Bookings feed the asset availability and utilisation reports so you can see how assets are used over time.
