About document management
The LogiqcQMS Documents register is a central library for key documents approved for use in the organisation such as policies, procedures, templates and forms.
Policies and procedures are central to smooth and consistent running of your organisation and such documents must be ‘controlled’ to ensure staff have access to the most current and approved versions.
Quality standards such as ISO 9001, the National Safety and Quality Health Service (NSQHS) in Australia and Ngā Paerewa Health and Disability Services Standard in New Zealand reference document version control as not just an administrative formality, but as a foundational process to support risk and quality management and to ensure that the right people have the right information at the right time.
Document management systems, like Logiqc's Document register, must ensure:
- documented information required by the organisation for the effectiveness of operations is appropriately controlled;
- controlled documents have appropriate identification and description;
- regular review and approval of the document for suitability and adequacy;
- availability where and when it is needed;
- adequate protection from loss or improper use; and
- appropriate control of changes, retention and disposition.
By ensuring a strict 'single source of truth,' version control helps to ensure staff are making decisions and supporting patients, consumers, and program participants based on the most current, evidence-based standards, completely removing obsolete and potentially dangerous documents from circulation.
